What we know about you, and what we do with it.
Cilicia answers phone calls for businesses. This page says, in plain words, what that means for the caller, for the business, and for anyone reading this site — what we collect, why, who else touches it, how long it stays, and how to ask us to change or delete it.

Who we are and what this covers
Cilicia AI LLC (“Cilicia”, “we”, “us”) is a Wyoming limited liability company with its registered office at 5830 East 2nd Street, #3303, Casper, WY 82609, United States. We build and run an AI switchboard: when a hotel, restaurant, café, council or clinic forwards its phone line to us, we answer the call, take the booking or the request, and hand the rest to that business’s team.
This policy covers three situations: you called a business whose phone is answered by Cilicia; you work at a business that uses Cilicia; or you are reading this website. Where a business uses Cilicia to answer its calls, that business decides why your information is collected and we process it on its behalf — its own privacy policy applies alongside this one, and it is the first place to send a request about your data.

If you called a business we answer for
Each call opens by saying that you have reached an AI front desk and that the call is recorded and transcribed. You can ask for a person at any point; the request is passed to the business as a callback for its staff to return.
- The number you are calling from, the number you dialled, and the time and length of the call.
- What you say on the call: the audio while the call is in progress, a written transcript, and a short summary written for the business.
- What you tell us to complete your request: your name, dates, the kind of room or table, the number of people, special requests, the language you prefer, and a phone number to text a confirmation to.
- Whether a text message we sent was delivered, and whether a payment link was paid — never the card itself.
We never ask for a card number on the phone and the system is built not to accept one. Payment happens on a secure link sent by text, on the business’s own payment provider; Cilicia does not see, store or process card details.
The business you called can see your reservation, your callback request and the transcript of your call in its panel, so that its staff can serve you. If you call the same business again, the system recognises your number and can carry on from where you left off — a returning caller is not asked to spell everything twice.

If you work at a business that uses Cilicia
- What you give us at sign-up: your name, role, work email and phone, the business’s name, address, room count, website, desk phone and reservations email, and the names of the agreements you attached.
- Your panel account and what it does: sign-ins, the settings you change, the records you look at, and the answers you write for the AI to use.
- Operational data about your line: call volumes, answer speed, unanswered questions, and the revenue and commission figures the reservations produce.
We use this to run your line, to bill you, to tell you when something needs attention, and to improve the answers the system gives your callers. We do not use your callers’ conversations to train a general model; they are used only to answer your line better.

If you are reading this website
- If you write to us through the contact page or the footer form, we keep what you typed — your name, work email, business, role, phone number and message — together with the page you sent it from, the time, your connection’s IP address and browser type. The last two exist to stop a bot from filling our inbox; they are not used to profile you.
- Your light-or-dark preference is kept in your own browser and never sent to us.
- This website sets no advertising cookies and carries no third-party advertising trackers.
Our hosting provider keeps ordinary server logs (the address a request came from, the page it asked for, the time) for a short period to keep the site running and to find abuse.

Why we process it, and the legal basis
- To provide the service: answering the call, taking the booking, sending the confirmation, filing the callback. For callers this is done on the instructions of the business you called; for businesses it is the performance of our agreement with you.
- To keep the service safe and working: security, fraud and abuse prevention, fault-finding, and keeping records of who on our side looked at what.
- To meet legal obligations: financial records of bookings and commission, and responding to lawful requests.
- To reply when you write to us.
We do not sell personal information and we do not share it with anyone for their own marketing.

Who else touches the data
The service runs on a small number of providers, each doing one job. All are United States companies and the processing happens in the United States. Each is bound by its own terms and by our agreement with it to use the data only to provide its service to us.

Beyond these, information leaves us only to the business whose call you made, to a payment provider that business has chosen, and where the law requires it.

A business can ask us to delete its callers’ transcripts sooner, and we delete a business’s records when the agreement ends, except what we must keep as financial records.

Your choices and rights
You can ask what we hold about you, ask us to correct it, or ask us to delete it. If you called a business we answer for, ask that business first — it decides what happens to the records of its own callers and we act on its instructions; you can also write to us and we will pass the request on. We answer within thirty days.
Residents of California and of other states with a consumer privacy law have the right to know, to delete, to correct and to opt out of the sale or sharing of personal information; we do not sell or share personal information in that sense, and we do not discriminate against anyone for exercising a right.
Our services are meant for businesses and their adult callers. We do not knowingly collect information from children under thirteen; if you believe a child has given us information, write to us and we will delete it.

How we protect it
- Every connection between you, us and our providers is encrypted in transit.
- Card numbers are never taken by phone; payment happens on the business’s own payment provider.
- Callers’ numbers are masked in the business’s call list, and every time one of our own administrators opens a caller’s full record, the view is written to an access log with the person’s name and the time.
- Only the business’s own staff and our administrators can sign in to the panel; there is no public access to any record.
No system is perfectly secure. If we learn of a breach that affects you, we will tell the affected business without undue delay and, where the law requires, you directly.
